This article shows you how to download a report from ScaleXP to Excel or CSV, how to control how much detail the download includes, and how to export every transaction behind a P&L report for a month, quarter, year to date, or full year.
Download a report
- Go to Reports and open the report.
- Expand the rows you want included. Click the arrow next to a group to show its accounts, or click Expand all (top of the report) to include every account.
- Click the download icon (top right, next to Share).
- Choose Download Report as Excel or Download Report as CSV.
The download reflects the report exactly as it appears on screen, including any expanded rows and the columns currently selected in the Columns dropdown. Change the columns or expansion first if you want a different view in the file.

Reports on the Customers page have their own download menu: Download this page in Excel or Download Excel with all invoice lines. CSV is not available there. See How to download customer page detail; how to download all invoice line item detail into Excel.
Download every transaction behind a P&L report
For a P&L report you can also export the full transaction listing behind the figures - every invoice, bill, and journal line posted to the P&L accounts in the report - as an Excel file. This is useful for audit support, for reconciling ScaleXP to your accounting system, or for analyzing a period in detail.
- Go to Reports and open a P&L report. The option appears only when the selected report contains at least one P&L account.
- Click the download icon (top right, next to Share) and choose Download Transaction Detail.
- Choose the Period type - Month, Quarter, Year to date, or Full year - then select the period from the dropdown. The summary box confirms exactly what the file will contain.
- Click Download .xlsx. The dialog closes and a banner at the top of the screen shows that ScaleXP is preparing the file in the background. When it is ready, the banner changes to Your transaction detail download is ready - click Click here to download to save the Excel file.
The file contains one row per transaction for actuals, across all P&L lines in the report and, for a consolidated company, all entities.
Calculated rows (such as gross margin), constants, and spacers have no transactions behind them, so they are not included.
Each export covers a single period; to cover more than one, run an additional download for each period.
Check a balance without downloading
