How to see transaction detail behind account balances

Click to see the detail behind general ledger balances in ScaleXP reports, or download every transaction behind a P&L report to Excel

Every figure in a ScaleXP report is built from the underlying transactions in your accounting system. You can click any account balance to see those transactions — the invoices, bills, and journals that make up the number — without leaving the report or logging into Xero or QuickBooks.

On the Reports tab, select any P&L report, then click on any account balance to see the detail of the transactions behind it.

Click an individual account row. Subtotal and calculated rows — such as total revenue, gross margin, and total operating expenses — do not have transaction detail behind them.

The detail covers the full period shown in the column you click, so a monthly column gives you that month and a quarter, year to date, or full year column gives you every transaction in that period. The heading of the detail window confirms the period you are looking at.

You will see:

  • transaction date
  • transaction source (for example, receivable, payable, manual journal)
  • reference
  • contact (customer or supplier)
  • description
  • amount debited or credited
  • running account balance
  • totals for the account for the period

Download every transaction for a period

If you need the transactions behind every P&L account rather than a single balance — for example, for an audit file or a reconciliation — you can export them all to Excel in one go. Open a P&L report, click the download icon (top right, next to Share), and choose Download Transaction Detail. Pick a Period type (Month, Quarter, Year to date, or Full year) and the period, then click Download .xlsx. The file contains one row per transaction for actuals, across all P&L lines in the report and all entities. 

Calculated rows (such as gross margin), constants, and spacers have no transactions behind them, so they are not included. 

Each export covers one period; run an additional download for each further period you need.
