Setup 2: Choose your settings

One-time setup: set your prepayment and accrual accounts, automated selection, journal by supplier, tracking codes or classes, threshold, and journal start date.

Expense Journal Settings tell ScaleXP which accounts to post to and how to build your journals. You can change them at any time.


1. Open the settings

  1. On the Journals tab, open any expense journal step from Month-End Close.
  2. Click the three dots at the top right and select Expense Journal Settings.

2. Set your accounts

  1. Prepayments: select the prepayments account you chose in Setup 1. If you code prepayments to more than one account, add them under Do you use additional prepayment balance sheet accounts? and click Map Accounts to map each to its expense account.
  2. Accruals: select your accrued expenses account.

If an account is locked, contact support@scalexp.com to change it.

3. Choose how journals are built

  • Automated selection of prepayments: on to include every bill ScaleXP identifies as a prepayment; off to confirm each one yourself in Prepayments 1.
  • Journal by Supplier: on to post lines by supplier rather than by account. See How to set up expense journals by supplier
  • Classes and Locations (QuickBooks) or tracking codes (Xero): choose which to include on journal lines. See How to report on Xero tracking codes or QuickBooks classes.
  • Minimum Threshold: bill lines below this amount are left out.
  • Journal Start Date: the start month from Setup 1. No journals are proposed before it.
  • Other Options: exclude spent money accounts if you import bank transactions.
