ScaleXP builds the journal from your selections in Prepayments 1. Your job is to check it and post. Open Prepayments Journal > Post Journal from Month-End Close.
1. Clear the system checks
- The banner at the top shows whether the checks have passed. Click View checks to see them.
- If one needs attention, follow its To fix note. See Why can't I post my prepayments journal?

2. Post the journal
- Review Section 1: The journal to post. Click a row to see the detail behind it.
- Click Post journal. ScaleXP writes it to Xero or QuickBooks, dated to the current open period.
3. Save the backup
- Click the Download icon at the top right and choose Download Journal Detail by Month.
- Attach the file to the journal in your accounting system. See Prepaid expense download options.

4. Check the balance matches
Section 6: Balance Sheet Reconciliation compares ScaleXP's prepayments balance with your accounting system. After you post and sync, the difference should be zero. If it is not, see How to reconcile your prepayments balance.

What the other sections show
You only act on Section 1. The rest explain it; use Show / hide sections to choose what you see.
- 2. Comprehensive journal: everything expected for the month.
- 3. Journals already posted: what is already in your accounting system, including late adjustments (3b).
- 4. How the numbers are calculated: bills selected, amounts moved to and released from the balance sheet.
- 5. Balance Sheet Movements: opening balance, additions, releases, closing balance.
- 7. Detail by supplier: expense in black, remaining balance in blue.
