How to show general ledger account numbers in reports

Add GL account numbers, nominal codes, or chart of accounts codes next to account names in any ScaleXP report using the Format panel.

Every account row in a ScaleXP report is pulled from the chart of accounts in your accounting system, and you can display the general ledger account number alongside each account name. This makes it quicker to reconcile a ScaleXP report back to QuickBooks, Xero, or Sage, to tell apart accounts with similar names, and to share reports with accountants and auditors who work from account codes.

1. Open the Format panel

  1. Go to the Reports tab and open the report you want to change. If you are starting from scratch, follow Getting started with reports: how to create and edit a report.
  2. Click Format in the toolbar at the top of the report. The Format panel opens on the right-hand side.

2. Turn on account numbers

  1. Under Display, switch on Show General Ledger account numbers.
  2. The report updates straight away, and each account row now shows its general ledger number next to the account name.

The setting is saved with the report, so the account numbers stay in place when you reopen it, share it, or add it to a presentation. Switch the toggle off at any time to go back to account names only.

3. Check the result

Account numbers appear only on individual account rows. Groups, subtotals, and calculated rows — such as total revenue, gross margin, or a KPI row — carry on showing their names alone, because they are built from several accounts rather than from a single ledger code.

The numbers shown are the ones set up in your accounting system. If a row has no number, the account has no code assigned in QuickBooks, Xero, or Sage, so add one there and it will appear in ScaleXP after the next sync. If an account is sitting in the wrong place in the report, you can move it with How to reorder accounts within a category.

The other options in the same panel let you change decimal places, display units, and currency — see How to format a report for the full set.
