Revenue Journal Settings tell ScaleXP which accounts to post to and how to build your journals. Deferred and accrued revenue share the same settings. You can change them at any time.

1. Open the settings

  1. Go to the Journals tab. Month-End Close opens automatically.
  2. Under Revenue, click Open on Deferred Revenue Journal, or on the Post Journal step of the Accrued Revenue Journal.

  1. Click the three dots at the top right and select Revenue Journal Settings.

2. Set your accounts

  1. Deferred revenue: under Balance Sheet Account Settings, select the deferred revenue account you chose in Revenue setup 2. Then click Map Accounts to map your revenue accounts - we recommend this even if you use a single deferred revenue account. See Deferred revenue 1.
  2. Accrued revenue: select your accrued revenue account.

If an account is locked, contact support@scalexp.com to change it.

3. Add tracking codes or classes, if needed

  1. Under Classes, Locations (QuickBooks) or Tracking Codes (Xero), select the classes, locations or tracking categories to include on journal lines, so your segments carry through to your ledger.
  2. If the field is locked, contact support@scalexp.com.

See How to add Xero tracking codes or QuickBooks classes to revenue journals and How to add location to your journals.

4. Choose journals by account or by customer

Under Journal Detail, choose how your accrued and deferred revenue journals are written to your ledger.

  • Off: each journal line is one account.
  • Journals by customer: each journal line is one customer's change in deferred or accrued revenue. Month-End Close adds an Accrued Revenue by Customer and a Deferred Revenue by Customer step, and you post from those steps.

Post either by customer or by account, not both. Both options post the same journal - only the layout differs. If you switch after posting journals by account, remove the journals already posted for those months in your ledger and sync before you post, because ScaleXP doesn't recognize them and tries to reverse them.

5. Set the calculation method and start date

  1. Under Journal Calculation, check the method is IFRS / GAAP (backdated revenue pulled forward), so backdated invoices don't change closed months. See How to set journals to IFRS or GAAP rules for backdated revenue. If the setting is locked, contact support@scalexp.com.
  2. Under Journal Start Date, select the month you chose in Revenue setup 2. To change it later, see How and why to change your journal start date.
  3. Click Save.
