How to see and/or change the way a metric is calculated, set custom metrics and KPIs and view the Metric Library; How to edit a metric; How to edit a formula

ScaleXP provides fully editable automated metrics.  Create your own definitions for metrics and KPIs and then use them in any report, dashboard, or presentation.

To view existing metric definitions, go to Settings (top bar)>Metrics library and use the search bar (top right) or scroll down to find the metric you wish to change.

Click on the edit (pencil) button by the metric you wish to modify.

This will open up a formula editor screen enabling you to change all aspects of the metric definition: the data source, time periods, calculation rules, etc.

For example, there are a number of default churn metrics built into the system.  To view these, look for churn in the search bar (top right of the page).  Select the one you want to edit, then click the edit (pencil) at the right of the name.

 

 

In the screenshot above, Customer Churn (3 months annualised) is currently measured as:  Customers Lost or Churned over the past 3 months as per the “global” report on the Customers Page divided by Active Customers as of 3 months ago as per the “global” report on the customers page, all multiplied by 4 to get the annualised result.

To change the source of the customers lost, click on “Customers Lost or Churned” and use the dropdown menu to select a different data source.    Data is grouped according to source: CRM data, Accounting data, Customer page data, etc.   When done, Save.

If you prefer to use a different report within the Customers page as your data source, go to Customers (in the top menu) > select the desired report (on the left side of the page) >the three dots (top right of page)> Use numbers for reports & graphs.   This will automatically change to use the selected report for all Customer page data throughout the system.

To change the time period (in this example, for customers lost), click anywhere on the row, then select the Period button.

  • To select a single month, for example the current month, choose Value;
  • To select a longer time period, for example, the total for the past 3 months, select Add then choose the start and end of the time period  (see screenshot below);
  • To select an average over a time range, for example, the average amount over the past 3 months, select Average then choose the start and end of the time period;
  • To select the change in value from one date to another, for example to calculate the increase in active customer numbers, select Change, then the start and end date.

To change other aspects of the calculation rules for a metric,

  • To delete a row – click on the row, then use the trash can symbol to delete it
  •  To move a row – use the six dots at the left of the row
  • Create brackets using the bracket symbol at the bottom right of the editing box
  • Move a bracketed group using the six dots at the left of the brackets symbol

 

 

 

 

Add a new calculated row using the box “Click here to add a new row”, then select the data source (Accounting, CRM, ScaleXP, or a fixed number)

If choosing a fixed number, click in the box next to “Constant” to select the number.

Then adjust the calculation type from the drop down menu (Add, Divide, Multiply, or Subtract).

Adjust the outcome format using the menu at the bottom of the formula box.
