How to add team members; inviting others to access your ScaleXP

You can modify team members and access levels to the system in ‘Settings’ cog (top bar, right side), ‘Team members’ (left sidebar). 

NOTE: to grant access to all levels of a consolidated company individually, you must grant access to each individual subsidiary as well as the parent.   

How to add a team member / send an invitation

To add a team member "Add Team members" (button at top right).

The team member will then receive an invitation.

Select “Share pages” for view only access or access to only the Customer pages.  See more in How to share view only access

The team member must accept the invitation before it expires in order to be granted access.

How to accept an invitation

The new team member will receive an invitation in their email.

The email will come from "ScaleXP." 

The title will be "[Your name here] has invited you to join ScaleXP - [name of your ScaleXP organisation].

It may not be in their Inbox – is very likely to go to “All Mail”, “Spam” or equivalent.  Be sure to have them look for it..

It is very important that the team member follow these steps to accept the invitation and set up a password:

Click on “Accept Invitation” (or use the url shown just above it)

Step 3 - log in or set up password 

If the invite has been sent to an email address which already has access to ScaleXP (for example, for another organisation), then choose the log in option.

  • In logging in, it is very important to choose the method used initially in ScaleXP for that email address – either email or Xero login .
  • Failure to do this will cause the log in / invitation acceptance to fail.
  • This is to prevent security conflicts for that email address, as it needs to be associated with one secure password only.

If the email is not yet set up with access to ScaleXP, then follow the instructions to set up a password

  • select “Continue”
  • follow instructions to set up a password

How to change access level

To change the level of access of an existing team member, select the arrow at the right of the team member's name; this will bring up possible permission levels.  Choose the new permission level.

  • Grant full access: enables interaction with the presentations, reports and dashboards with no restrictions - just like you would access it. 
  • Grant full view access: allows your clients or team to view presentations, reports and dashboards.  They can't change or edit but can interact with all of the functionality. 

How to revoke access

Use the bin symbol (Revoke column at end) to remove access for that user.

The permission level saves automatically and instantly.

For guest access, you can navigate to any report, dashboard or presentation and click share in the top to control specific items for view only access.
