When to use this
The revenue leakage page automatically checks your closed won CRM deals, renewals, contract billing schedules, and approved accounting invoices against the invoices you have actually issued — surfacing every item of uninvoiced or under-invoiced revenue in one place. It has two tabs: CRM Deals Closed Won reconciles every deal closed in the period, and Missing Invoices lists every flagged item from every source. Use it each month to make sure every sale has been fully invoiced before you close the books.
Step 1. Open the revenue leakage page
- Go to the Customers tab.
- In the left sidebar, scroll to the CRM section and select Revenue Leakage.
- Use the date selector at the top right to choose the month, or range of months, you want to review. On the CRM Deals Closed Won tab this is the Closed Won date; on the Missing Invoices tab it is the Invoice start date.
- If you have raised or sent invoices in the last few hours, click Sync now in the summary bar to refresh the data from your accounting system before you start.

Step 2. Reconcile every closed won deal
The CRM Deals Closed Won tab opens by default. The summary bar at the top shows the position for the period: the number of deals need action, the total uninvoiced value, and the number of deals closed won in the period. The summary always matches the table below it.
Each row shows the accounting customer, the CRM deal (click the deal name to open it in your CRM), the closed won date, pipeline, salesperson, deal owner, deal value, the amount invoiced so far, the variance (the uninvoiced amount), and an Invoice Status badge:
- Invoiced — the deal is fully invoiced; no action is needed and the row is hidden from the default view
- Partial — some of the deal value has been invoiced; the variance shows what is still outstanding
- Draft invoice created — a draft invoice exists in your accounting system but has not been approved and sent
- No invoice — no invoice has been found for the deal
By default the table shows only deals that Needs action. Use the first dropdown to switch to All deals (including fully invoiced deals) or Actioned (deals you have postponed or removed). All amounts are shown in your base currency.

Step 3. Review flagged items from every source
Switch to the Missing Invoices tab to see every item flagged for the period, whatever its source. The summary bar shows items need action, the total uninvoiced value, and items flagged. ScaleXP flags items from every source where revenue can leak, and the Reason column tells you why each item is on the list:
- CRM Deal — Closed Won, no invoice: a deal was closed won but no invoice has been raised
- CRM Renewal — Renewal, no invoice: a renewal is due but has not been invoiced
- Contract — Billing date passed: an expected invoice on a contract schedule is overdue
- Accounting (Xero or QuickBooks) — Approved, not sent: an invoice was approved in your accounting system but has never been sent to the customer
Each row also shows the start and end dates of the service period, the pipeline, the CRM closed won date, salesperson and deal owner, the invoice issue date and the invoice in Xero or QuickBooks (where one exists), a Status badge (None, Draft, or Not sent), the value, and the variance.

Step 4. Filter and configure the view
Narrow either tab using the filters above the table:
- Needs action / All items / Actioned — show open items only, everything, or only the items you have already postponed, dismissed, or removed
- All sources (Missing Invoices tab only) — tick Accounting, Contract, CRM Renewal, or CRM Deal and click Apply
- Filter by pipeline — focus on specific CRM pipelines, such as your renewals pipeline
- Salesperson and Deal owner — focus on one person's deals
- All statuses — tick the statuses you want to see and click Apply
- Search by customer or deal — find a specific customer or deal name
Click Save filters to keep your selection for next time, and Configure Columns to choose which columns appear in the table.
Step 5. Take action on each item
Select the Action menu at the end of any row. The menu header confirms the deal or customer, the value, and the reason it was flagged; the actions offered depend on the item's source and status:
- Issue invoice now / Create invoice — for a closed won deal or renewal with no invoice (or only a partial invoice), opens the deal in your CRM so you can raise the invoice; for a contract whose billing date has passed, opens a new invoice in Xero or QuickBooks
- Approve & send invoice — for a deal with a draft invoice, opens the draft on the contract so you can review and send it; for an invoice approved but not sent, Approve & send or edit invoice opens it in Xero or QuickBooks
- Amend contract — for a contract item, edit the expected invoices if the billing schedule is wrong
- Accrue — recognize the revenue now and invoice later; see how to automate accrued revenue journal posting
- Postpone to [next month] — take the item off this month's list; it resurfaces in next month's list
- Remove (CRM Deals Closed Won tab) or Dismiss (Missing Invoices tab) — stop flagging the item. You are asked to choose a reason, such as Test deal, Duplicate of another deal, Customer churned, or Invoiced under a different contact, so there is a full audit trail
Removed and dismissed items are not flagged in future months, but you can find them at any time — and undo the action — by switching the first filter to Actioned.
If an invoice already exists but is not linked to the deal, link it via ScaleXP Invoicing in Salesforce or HubSpot or on the invoice matching page; once linked, the deal shows as Invoiced.
