Go to Journals (top tab) >EXPENSE RECOGNITION (bottom half) >Step 1: Bills Issued in (month year).
This page is useful for several purposes:
- to find a missing bill;
- to review and change expense recognition start and end dates;
- to download bill detail in Excel.
What to do if a bill is missing from this page
If you follow the steps below and still can't find the bill, then it is likely not set up as a Bill in your accounting system, but rather imported directly from your credit card or bank account without matching to a received invoice. For example, Xero shows “Payable Invoice” (these are the ones also visible in “Bills to Pay”), not “Spend Money” or “Manual Journal” transactions. These transactions are not picked up in ScaleXP's list of bills.
To include this expense in your automated expense journals in ScaleXP, you will need to create a bill in your accounting system, then sync with ScaleXP.
To review bills issued in a specific month, follow these steps.
Select the issue month to review.
This is based on the issue month saved in the bill in your accounting system when last synced with ScaleXP.
Sort and/or Filter
You can filter by expense account and then sort by Bill Number, Bill date, Amount, Line Description, expense recognition Start Date, expense recognition End Date, or Line amount.
We recommend sorting by start date, then end date to look for outliers. You may also want to check by account and supplier to ensure the start and end date are consistent with the cost type.
Use the search bar
To find a specific bill, you can also use the search box to search by supplier name or bill number.
Expand the top “Total All Bills” to see a summary by expense account
This will expand the table to show the totals for each expense account with bills coded against it.

Download the bill information
You can download both the summary by account and the line level detail using the download button at the top right of the page.
Summary by accounts will show on the first tab.
Detail by line item will show on the second tab.
