How to Add & Change Budgets for MRR, Churn, Customer Count, Financials and Other Metrics

Learn how to effectively manage your budget for MRR, churn, customer count, and other important metrics to optimize your business performance.

How do I add a new field to my budget? How do I edit my existing budget? How do I add KPIs and/or Metrics to my existing forecast or budget?

How do I add additional months to the start or end of my budget?

You can add a budget for any metric reported in ScaleXP, including manual entry field, balance sheet items, and any metrics found in the Metric Library or on the Customer page.

To create a new budget, see: How to add a budget or forecast

To add additional metrics to an existing manually loaded budget:

  • Go to Load Data (top bar)>Budgets & Forecasts (left sidebar)
  • Select the budget you wish to update>Update or reload (icon at right of budget);

  • You will be taken to "2. Download Template"
  • Tick the boxes next to the items to be included (ensure both new ones and ones from the previous budget remain ticked); scroll up and down to see everything included;
  • Select "Continue" (bottom right)
  • Ensure the budget parameters are correct
  • Select the new start date and number of months (if applicable) or leave as before.
  • Select "Download Excel"
  • Update the template with the additional metrics and/or months of data;
  • Go to "3. Upload Template" (top right)
  • Choose "Select File", choose the file to upload, and select "Upload"
  • You will see a downloadable preview of the budget with the new fields added.

To add additional metrics to an existing budget which has been imported from your accounting system, first download the existing budget, then upload it as a manual budget using the steps described above.

Remember to include any existing budget data in the upload, otherwise it will be over-written.

How To Create a Budget Against a Specific Customer Tab Report (MRR Churn Example):

When following the steps above, ensure you tick 'MRR, Customers & Churn' after selecting your relevant ‘Customers’ tab report you are looking to budget against which will allow you to input budgeted churn through ‘Lost Customers’ and ‘MRR Lost’ on the downloadable Excel file.

You can set budgets against as many ‘Customer’ tab reports as you would like including ARR, MRR and accounting revenue formats.

Once this has been uploaded to the system, you are then free to add these newly created budgets on the ‘Reports’ tab to be compared against the actuals.

You can follow this guide here for further in-depth detail, see: How to Add a Customers Page Report Into Your Budget.
